{"id":4034,"date":"2017-06-30T11:25:53","date_gmt":"2017-06-30T15:25:53","guid":{"rendered":"https:\/\/michigan.it.umich.edu\/news\/?p=4034"},"modified":"2024-07-08T06:06:21","modified_gmt":"2024-07-08T10:06:21","slug":"role-access-management","status":"publish","type":"post","link":"https:\/\/michigan.it.umich.edu\/news\/2017\/06\/30\/role-access-management\/","title":{"rendered":"Role &amp; access management: The future of easier, more secure access to U-M resources"},"content":{"rendered":"<div dir=\"ltr\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-large wp-image-4049\" src=\"https:\/\/michigan.it.umich.edu\/news\/wp-content\/uploads\/2017\/06\/noun_996158_164F86-700x600.jpg\" alt=\"An illustration depicts a digital access management system\" width=\"665\" height=\"570\" \/><\/div>\n<p dir=\"ltr\"><span style=\"font-weight: 400;\">How many times have you or someone you work with asked, \u201cWho has access to what systems and when \u2014 or how \u2014 did they get it?\u201d or \u201cWhy am I making these access changes manually?\u201d or \u201cDoes <\/span><i><span style=\"font-weight: 400;\">he<\/span><\/i><span style=\"font-weight: 400;\"> really still have access to <\/span><i><span style=\"font-weight: 400;\">that<\/span><\/i><span style=\"font-weight: 400;\">?!&#8221;\u00a0<\/span><\/p>\n<p dir=\"ltr\"><span style=\"font-weight: 400;\">If you\u2019ve lost track \u2014 or simply don\u2019t know who needs appropriate access to what or how to get it \u2014 you\u2019re not alone. This year, U-M will address this long-standing challenge by taking advantage of strong campus partnerships and newly available technology to begin making an enterprisewide solution a reality.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The <\/span><a href=\"http:\/\/www.cio.umich.edu\/eiam-program\/projects\/role-access-management\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">Role and Access Management Project (RAMP)<\/span><\/a><span style=\"font-weight: 400;\">, part of the Enterprise Identity and Access Management program, will focus on establishing <\/span><span style=\"font-weight: 400;\">a role-based access service at the university in the coming years. Doing so should accelerate start-up time for new employees, improve data security, replace some manual processes, increase<\/span><span style=\"font-weight: 400;\"> the ability to track and report on access, <\/span><span style=\"font-weight: 400;\">and simply make it easier for authorized individuals to access the right U-M resources when they need them.<\/span><\/p>\n<h1><b>Learning the pain points<\/b><\/h1>\n<p><span style=\"font-weight: 400;\">Earlier this year, the team conducted more than thirty interviews across the Ann Arbor, Dearborn, Flint, and Michigan Medicine campuses to better <\/span><span style=\"font-weight: 400;\">understand<\/span><span style=\"font-weight: 400;\"> how the campus community manages U-M resource access today and how the project can help improve it in the long term. During these conversations, individuals representing academic, administrative, and clinical units shared details on current processes and pain points, with many volunteering to collaborate on the future of access at U-M.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">One of these partners is <\/span><span style=\"font-weight: 400;\">Doug Hovey, former b<\/span><span style=\"font-weight: 400;\">usiness analytics manager <\/span><span style=\"font-weight: 400;\">at the Shared Service Center (SSC) and now in the U-M Treasurer&#8217;s Office. While at the SSC, Doug set up <\/span><span style=\"font-weight: 400;\">an intricate workaround to manage and assign access to his staff, which skirts the current, error-prone and time-consuming processes, but creates yet another system to manage.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Aimee Lahann, business systems analyst for the RAMP project says, \u201cIt\u2019s amazing what IT and administrative staff have done to get around the gaps in our technology and processes. But they shouldn&#8217;t have to spend their time doing this when they could be focused on more meaningful work to support their areas\u2019 missions.\u201d<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Hovey adds, \u201cIdeally, the Shared Service Center will be able to hire someone, assign them to a role, and on day one, they can access the systems they need to do their job \u2014 with all the right training and approvals built right into the process.\u201d <\/span><\/p>\n<h1><b>Partnering for the future<\/b><\/h1>\n<p><span style=\"font-weight: 400;\">The interviews were just the first step in the university\u2019s effort to reach that ideal state. Many of those interviewed \u2014 including representatives from LS&amp;A, College of Engineering, and School of Nursing \u2014 have joined the project to help select an enterprise-level, role-based management system. DePriest Dockins, co-director of the EIAM program and assistant director of Identity and Access Management at Information and Technology Services, says, \u201cWorking with our campus and Michigan Medicine business partners is \u2014 and will continue to be \u2014 critical to making role-based access a reality at U-M in the coming years.\u201d<\/span><\/p>\n<div class=\"perfect-pullquote vcard pullquote-align-right pullquote-border-placement-left\"><blockquote><p>\u201cWorking with our campus and Michigan Medicine business partners is critical to making role-based access a reality at U-M.\u201d<br \/>\n\u2014DePriest Dockins, EIAM program co-director<\/p><\/blockquote><\/div>\n<p><span style=\"font-weight: 400;\">The vendor selection process is currently underway (<em>see box below<\/em>). Next, the project team and partners will identify pilot scenarios for testing the new system at U-M beginning in early 2018. The RAMP effort will also define related business roles and workflows that can be shared by all four university campuses. Expanding the role-based access service to other U-M systems is in the plans, pending the successful completion of pilots in 2018 and the formation of long-term funding, governance, and support models.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The team will continue working closely with academic, clinical, and administrative partners to lay a foundation to support any new business processes, policies, and\/or technologies resulting from the pilot phase.
